Visiting medical students and overseas elective medical students

Medical student elective requests

Please ensure that you follow the guidance below which is dependant on whether you are a UoS, UK or international student requesting a medical elective placement at UHS.

Please ensure that you are aware of all the requirements and input that you will need to address to gain an elective placement within the Trust if this is confirmed by the consultant you have contacted. Please note that the acceptance of an elective student may not be possible due to service and other learner requirements.

Any request for an elective can be for no longer than 8 weeks for UK students and 4 weeks for international students

1. University of Southampton (UoS) medical students

Students from UoS must follow the process below:

  • Students identify a supervisor who is prepared to supervise them during their elective placement.
  • The supervisor must ensure that any placement will not impact the experience of other UoS students (for example those in year 3 and year 4).
  • Electives must be undertaken as per programme - March to May and for no longer than 8 weeks
  • The consultant supervisor will confirm the acceptance of the elective in writing to the email address below, copying in the undergraduate lead for their speciality and the UHS undergraduate medical lead. Email fmed-placements@soton.ac.uk

2. UK medical students

If you are a medical student undertaking your programme in the UK you will need to:

  1. Contact directly a named consultant expressing your interest and include
    - Dates and length of placement - this can be no longer than 8 weeks
    - Your learning objectives
    - A personal statement covering your interest and why you a looking to come to UHS for your electives.
  1. If the named consultant agrees to support your placement request, and has agreement from the appropriate placement lead that it will not impact the experience of UoS students, you must complete the application form and return it to HRmedicalelectives@uhs.nhs.uk
  1. The application document will require you to declare that you are currently a student at a UK university and therefore have occupational health and DBS clearance with a signature from your medical school link - confirming you are a student on the programme including award and year of programme.
  1. Once returned and agreed, the HR medical electives team will confirm that the placement can go ahead and then you will be forwarded a letter of access.
  1. Any further information will be sent from the named consultant in terms of actual timings and the overall programme.

3. International medical students

If you are an international medical student looking for an elective placement then you will need to:

  1. Directly contact a named consultant for the speciality you are interested in expressing your interest and include:
    - Dates and length of placement – this can be no longer than 4 weeks
    - Your learning objectives
    - A personal statement covering your interest and why you are looking to come to UHS for your medical elective placement.
    - Allow at least 6 to 8 weeks notice so we can ensure the relevant occupational health clearances can be in place

  2. If the named consultant agrees to support your placement request, and has agreement form the appropriate placement lead that it will not impact the experience of UoS students you must complete the application form and return it to HRmedicalelectives@uhs.nhs.uk

  3. The unpaid placement team will request a letter from the University of Southampton to confirm the placement (this is required for visa)

  4. Unpaid placements will then lead the process linking with yourself and the named consultant. Please be aware you will need to demonstrate the following;
    - Police checks
    - Occupational health requirements - this is likely to mean that you will need to attend the UHS occupational health department to assure all UK requirements are met.
    - The team will need applicants to meet all VISA requirements

Please note - there will be costs associated for any occupational health checks or vaccinations that are needed before an elective can be commenced. Please see below the costs related to occupational health.
