Education for doctors
High quality healthcare depends on the commitment, skills and teamwork of clinicians and the wide range of support services within the NHS. Education and training are central to this. University Hospital Southampton is the focus for the administration, delivery and management of both clinical and research education for all doctors, whether in training or in career grades.
The training, development and workforce department oversees this function for all staff, including doctors. For doctors the main functions are:
- Overseeing the delivery of undergraduate and postgraduate education and training programmes and monitoring and responding to quality issues in any of these areas.
- Liaising with regional and national medical education bodies to ensure our education services meet required standards
- Running a range of courses in a wide variety of disciplines and developing new courses, teaching materials and methods
- Working to share good practice with links to other medical education organisations
- Providing facilities for the education of clinicians
- Career guidance for doctors in training
- Administering study leave for doctors in training
- Administering applications for clinical attachments/observerships and medical student electives.

Virtual Trust induction:
You should be booked onto a virtual induction via an invite from the medical education team here at UHS.
You can start doing this before you start work - use your assignment number to login and start to work through the clinical systems modules to gain access to all the necessary systems when you start.
Trust induction aims:
The induction aims to provide you with the information you require to begin a post as a Doctor at University Hospital Southampton NHS Foundation Trust.
There are three parts you need to complete.
- Attend the live virtual Trust induction with speakers and presentations from required areas to give you the knowledge and understanding of the UHS way. You should be booked onto a virtual induction which you can access via the link sent from the medical education team.
- Clinical systems training. You can start doing this before you start work - use your assignment number to login via the link sent and start to work through the clinical systems modules. You will then gain access via a Trust computer once you start at UHS.
- Statutory and mandatory training. You need to make sure you are up to date with your statutory and mandatory training. Again, follow the link in the welcome email and this can be started before you start work at UHS.

Who do I contact if I have queries about pre-employment checks?

ID check and ID badge
I've not attended HR in person, what do I do?
If you have not yet attended HR in person for an ID check, please ensure you bring all your ID documents with you when you collect your ID badge. These include your ID documents you used for your ID check, DBS certificate and Certificate of Good Standing if applicable. It is also a legal requirement that we see your physical Right to Work on or before your start date. If you are unsure what you need to bring, please contact medicalhr@uhs.nhs.uk and they will advise you.
What should I do if I can't attend my ID check/badge collection on the day I have been advised?

How do I get into the hospital without my ID badge?
Bring a copy of this email or your contract on your first day to ensure security let you into the hospital before you have your ID badge.
I've not cleared occupational health yet, what do I do?
If you are not yet cleared by our occupational health team, you may also need to visit the OH department on the day you pick up your ID badge. Please check with medical HR medicalhr@uhs.nhs.uk for further information.
I have not yet received my parking permit, what will I do?
If you have applied but not yet received your parking permit, medical HR will have parking permit tickets to give you which will be valid for your ID check.

When will I find out about my departmental induction? Who can I contact about this?
You will need to contact your departmental rota coordinator. Details of your rota coordinator can be found on the front of your work schedule that would have been issued to you with your contract of employment.
What should I do if I cannot attend the Trust induction due to sickness or another unforeseen issue?

I am not starting until later in the month - should I attend this induction and will I get paid for my time?
If you choose to attend prior to your start date you will be given time off in lieu, please liaise with your department.
Where can I find my login details for my computer and email?
You will be able to find your PC login (computer login) in the Doctor’s induction invitation email.
You email address will be available on the left-hand side when you open the Outlook app on any UHS computer. Once you go to your local induction you will be able to use this login on the computer. If this isn’t at the bottom of your email, once you arrive at local induction your team will most likely have this information for you. If you are still having issues with your login details, please contact IT directly on ext. 6000.
VLE
When do I have to complete the induction statutory and mandatory modules?
You MUST complete the clinical systems modules that you need in order to work on the wards such as eQuest, e-Prescribing, eDischarge and PACs. The rest of the statutory and mandatory modules can be completed later but please be aware that if not completed any study leave applications will not be approved.
What if I haven't completed all of the clinical systems training on the day of induction?
You must complete the relevant clinical systems training to your roles as completion will be sent to IT and the e-prescribing teams to organise access for you. If you complete the training after induction day you will need to organise access through your department once you have started your placement.
How do I access the VLE?

I haven't had an email with my VLE login and instructions?
Please report this to Meded@uhs.nhs.uk and this will be organised to send to your email.
What do I do if my VLE login details are not working?
The forgotten password option will most likely be linked to your Trust email address so this won’t work for you. Please ring 023 8120 5500 for help on resetting your username/password.
I have logged into my profile on the VLE. I don't have any training assigned and it does not look like the screenshots provided in the email?
It is most likely that the job information hasn’t yet been added to your profile. Please ring 023 8120 5500 for help on getting this added.
In the interim, after reporting your query you will find a search bar at the top right hand side of the VLE. Use the information from the screenshots to search for the courses manually.
eQuest / PAC’s / JAC E-prescribing – Drug prescribing / eDischarge are the courses in the clinical systems program that should be assigned to you. Searching for them is a way around this process if you are waiting for a response to your query.
Which clinical systems courses do I need to complete for my role?
The courses are currently assigned automatically. We advise asking your peers/local area as the VLE/medical education/med HR teams won’t know the answer to this.
How do I gain access to clinical systems after completion?
If you complete your clinical system courses before or on Induction, WFS will be sending a completion record to the JAC and EPR (IT) teams for them to action your request. Once they have actioned your request an automation email will appear in your work email with access.
Please bear in mind the JAC and EPR teams will be actioning these as soon as possible so please be patient.
The system is telling me I have 20+ statutory and mandatory subjects to complete. What if I have completed these at my previous NHS Trust?
We can accept your previous NHS statutory and mandatory training but we will need the evidence to transfer this over. If you have your previous training matrix/record, once you have arrived in the Trust and have accessed into your AD Login (Computer Login) you will need to attach/create a helpdesk ticket on the UHS portal here.
If you haven’t already, we would advise you to contact your previous NHS Trusts L&D team and they can send you a copy which you can then send to the above email address. If you have created a ticket with us but it isn’t showing on your VLE record, please give us time to transfer this. We would advise if you know your “Fire safety” is complete on your previous matrix, ignore this on your list and concentrate on modules you haven't completed previously. We will upload around them within the next few weeks for the previous training you have completed.
My area has advised I complete the Metavision training but it isn’t in the list?
If your area has asked you to complete the Metavision training, please complete it as the system will not automatically advise this module.

For any IT issues or help with any of our systems please log a call via the service desk. There is an icon on all Trust PCs and laptops. Please do report issues you encounter as we can’t fix it if we don’t know about it. If you can’t access the icon, you can call the service desk on ext. 6000 (023 8120 6000 from an external phone).
Ongoing professional and personal development for consultants is a key part in our approach at UHS in terms of achieving the best quality for our patients and job satisfaction for the consultant staff. Recognising the need for senior doctors to be able to find opportunities, advice and help for both professional development, new challenges, and support during difficult times at work, the Doctors Development Unit (DDU) has been set up to meet this need.
DDU aims to provide:
New consultants
- Provide particular support to new consultants during their first years in post.
- 1:1 coaching for all new consultants
- New consultants’ Teams group with the DDU team to provide a programme designed by new consultants themselves and the opportunity to meet peers virtually and, in due course, face to face.
All consultants
- To provide easy access to coaching for all consultants considering or undertaking new leadership roles in the Trust. The Trust encourages coaching prior to and during times of transition for senior medical staff.
- To provide 1:1 confidential “space” for all UHS senior doctors to review their situation and explore ways to reach personal goals or bring about change
- To make clear the various ways that those requiring additional or urgent support can access help
- To support those who are in difficulty managing work as it is, for whatever reason, to get through the hard times to get up and running again

- Space to think - we have several medical coaches and access to non-medical coaches at UHS who are experienced in working with others to help them identify goals and plan approaches to situations and decisions they may be struggling to address
- Opportunities – we plan to provide links to opportunities and resources for senior medical staff and, in due course, host workshops and courses we hope will be of interest.
- Sources of help – links and suggestions for ways doctors might get help when facing a crisis are available by downloading this 'Getting Help' document.

Educational Supervisor Courses
Educational Supervisor courses update courses are run in the Trust and can be booked through the internal Virtual Learning Environment. All consultants are required, in HEE Wessex, to do their first educational supervisor course at the Deanery. Details can be found on the HEE Wessex website.
